Overview- On-Campus Hiring of Student Workers

On-Campus Employment Team

  1. Johnna Lorenzano, Director of Employer Relations | The ExchangeEmail: jlorenzano@marian.edu
  • approve your access into CORE (the system all on-campus positions for students are posted)
  • confirm your pending positions meet designated criteria (see Canvas Training Modules)
  • approve postings for students to view/apply
  • coordinate support workshops throughout each school year, and an annual refresh on the student employment process

 The Exchange will;

  • approve student uploaded professional documents (resumes, cover letters, etc)
  • assist interviewing preparation
  • support professional interview dress (through student utilization of the Dress to Impress Closet)
  • inform incoming students on the on-campus employment process during each New Student Orientation dates

 

2. Mikayla Tom, Human Resources Coordinator | Human Resources

Mikayla takes over the process once the supervisor marks the students Hired in the system. 

  • confirm which students have been 'Hired' in CORE
  • inform students of what HR documents needs completed before they are able to work and if they are missing any items
  • provide the student access to the online document system, UKG, which tracks their submitted documents and remaining items
  • send and confirm student background check
  • email supervisor and student regarding student's "Cleared to Work" status
    • REMINDER- students are not permitted to start working until receiving this email

 

Please see an overview of the process below.

  1. Supervisor/Employer determines need for student employees, and contacts The Exchange.
  2. Access is provided to Canvas page for trainings and resources(You Are Here).
  3. Supervisor completes Canvas Training Quiz (Module 3.1), and creates Employer account in CORE
  4. The Exchange approves Employer Account (upon confirmation of completed Training Quiz).
  5. Supervisor submits job posting for approval by The Exchange (confirming certain criteria met, see Module 1.3).
  6. Students apply to posting and supervisors interview applicants at their discretion.
    • Can update applicant status in CORE at discretion of supervisor
  7. Supervisor determines which student they want to hire; and marks student 'Hired' in CORE
    • If the student(s) you plan to hire have all applied- you’ll want to update the expiration date & Time (closing date) of the posting. After edit approval, the hiring decision ellipses should appear as listed.
    • If you plan to hire additional students, let Johnna Lorenzano know (jlorenzano@marian.edu) by sharing the student names you are wanting marked hired & the job posting title,
      • This lets us hire on the admin side, so your posting can remain open. (no need to change the closing/date time at this point)
    • Students are still not permitted to work at this point. Please see remaining steps to see at what point student is Cleared to Work
  8. Supervisor sends Pay Rate form to Mikayla Tom in HR (mtom@marian.edu)
    • All positions need completed Pay Rate form to move forward in hiring process 
  9. HR reviews 'Hired' students, confirms hiring documents still remaining, and emails next steps to students 
  10. After all documents completed, HR sends email to Students & Supervisors confirming 'Cleared to Work' status
    • After this point, a student is able to begin working
